When you use Ingka Play, your employing company, or the company that has assigned you to create or contribute to the content is the Data Controller who will collect certain personal data about you.
When you create an account on Ingka Play this creates a profile with the supplier and data processor, Kaltura. The personal data collected for this profile is:
Your name
Your work email address
Work location
This will create a unique User ID within Kaltura and also create an activity log, so we can better understand how you are using Ingka Play.
Ingka Play uses work location data to display video content targeted to your country.
If you choose to upload content to the Ingka Play platform the video and/or audio content you have shared will be available for other users to view until such time as it’s removed (see below for further details.)
How we collect any personal data:
By using single sign on to provide users access to Ingka Play, any user profile data will be directly created from information held on other Ingka systems.
Video or audio content is provided directly by the co-worker who uploads this under their profile.
E-mail addresses of video participants, where provided by the individual uploading the content. Please note, this information is only visible to the person uploading the content and Ingka Play administrators and is only used to identify content in the event of a deletion request from a participant.
The purpose of collecting the personal data used on Ingka Play is:
1) Enabling Internal Communication - the majority of Ingka Play content is used to promote or highlight events, activities or showcase co-workers across the organisation
2) Learning & Development – some content and videos uploaded to Ingka Play may be used for co-worker learning and development opportunities
The legal basis for processing the personal data is:
The Data Controller’s legitimate interest to provide internal communication and collaboration tools for co-workers across a range of delivery channels.
In addition, the publisher of any content will be responsible for ensuring they have the approval of those who may appear in the content and are identifiable before publication.
How the personal data is stored:
Any personal data (either user profile data and/or uploaded content) is securely stored within Kaltura’s cloud storage, which is located in the United States of America.
The data will be retained for:
Access to Ingka Play is controlled via single sign on, meaning when a co-worker leaves Ingka their ability to sign in is removed also. However, video or audio content that has been uploaded will remain on the platform until such time as no one has accessed the content for a 12 month period.
At that stage the content will be moved into an ‘archived’ state, meaning only the system administrators can access it. After a further 6 month period in archive, the content (if not re-published) will be deleted.
A process is in place upon request should a participant or contributor wish for content to deleted ahead of this retention period.
The data controller for this processing is Ingka Digital.
